Staff reports with the CRM custom fields

To generate custom reports for students or staff, follow these steps:



Step 1: Select Reports from the main menu.

Step 2: For student reports, locate the custom student reports section at the bottom. For staff reports, select the staff reports tab.


Creating a Custom Student Report

Step 1: Select "Add New Student Report".

Step 2: Enter the desired name for the report.

Step 3: Select "Create" to create the report.

Step 4: In the filters section, select the desired year, semester, track, and enrollment status. These filters will be applied to the report.

Step 5: In the "Selected Fields" section, add the fields you want to include in the report:

  • Scroll down to the "Available Fields" section.
  • Expand the desired student tab/menu to view the associated CRM fields.
  • Select the checkbox next to the fields you want to include in the report.

Step 6: The selected fields will appear in the "Selected Fields" section. Reorder them using the up/down arrows or remove fields using the "X" icon.

Step 7: Select "Save" to save the report or "Run" to save and run the report.


Viewing and Editing the Report

Step 1: The report will display as an Excel-like table with columns for the selected fields and rows for student results.

Step 2: Sort columns by selecting the up/down arrows in the column headers.

Step 3: Edit field values by selecting the corresponding cell and making changes. Changes are automatically saved when exiting the cell.

Step 4: Select the contact card to open the student details page.


Report Actions

  • Export reports to Excel by selecting "Export" from the action menu.
  • Email reports as attachments by selecting "Email Report" from the action menu.
  • Email one or more students by selecting their checkboxes and choosing "Email Student" from the action menu.


Creating a Custom Staff Report

Step 1: From the Reports page, select "Add New Staff Report".

Step 2: Create the staff report following the same steps as for a student report, excluding the track and enrollment filters.


Editing and Deleting Reports

  • To edit a report, select "Edit" from the action menu within the report.
  • To delete a report, go to the report's edit page and select "Delete" from the action menu.

Note: Granting users permission to reports via user groups and permissions will give them access to all staff and student CRM fields.
