How to create a new class

To create or add a new class, follow these steps:

  • Note: If you already have a class entered in the system from a previous semester and want to create it again for a new semester, you can use the clone feature to copy it from one semester to another.  For detailed instructions on how to use the clone feature, see the appropriate help tutorial in the "Class" section.


Prerequisites:

  • Staff Member:   Since you will need to assign the staff member who will be teaching this class, ensure that the staff member is added to the system first. 
    • For detailed instructions on adding a teacher, see the appropriate help tutorial in the "Staff" section.
  • Academic Year, Semester: You will need to first create the academic year and semester for this class.  
    • For detailed instructions on adding a year and semester, see the appropriate help tutorials in the "Year and Semester" section.
  • Tracks:  You will need to have the tracks set up which this class will be associated with.  Note that a student from any track can enroll in a class of any track.

Class Details:

Step 1: Select "Classes" from the main menu

Step 2: From the filters section, select the year and semester for when this class will take place

Step 3: From the action menu, select the option to "Add a new class"

Step 4: Select the submenu "Settings" inside the class

Step 5:  Enter the 'Subject Name'

  • The subject name is the class name.  Choose the subject name from the dropdown list.
  • If the desired subject name is not listed, you can create a new one by selecting "New Subject" from the dropdown and entering the new subject name in the field provided.

Step 6:  Optional: Enter the 'Transcript Name'.  You can also leave this field empty.

  • This 'Transcript Name' is the name that will override the subject name to appear on transcripts and report cards.  This allows you to have a simple name displaying on the calendar, reports, and throughout the system, while allowing you to display the official name on the transcripts and report cards.

Step 7:  Select the staff member, or 'Teacher' that will teach this class.  

  • If the teacher is not listed, you will need to add them from the 'Staff' page. 
  • For detailed instructions on how to add staff, see the appropriate help tutorial in the "Add Staff" section.

Step 8:  Select the 'Tracks' for this class. You can choose one or more tracks. 

  • A student from any track can enroll in a class of any track, but you must choose at least one track with which this class will be associated.


Enrollment:

Step 9:  Select the "Enroll Students" checkbox to automatically enroll all students from the selected tracks into the class.  For this feature to work, you must have the students of these tracks already entered into the system.

Scheduling:

Step 10:  Enter the Length, Days of the Week, and Time.

  • If the time, or length of lessons are not always the same, select the "Advanced Scheduler" for more options.
  • The Start Date and Count are both optional.  For more information on the scheduling options, see the appropriate help tutorial.


Grading:

Step 11:  Enter the "Grading" options.

  • For more information on the grading options, see the appropriate help tutorial.


Create the class and generate lessons:

Step 12:   Select "Create" to save your changes.  The lessons for the entire semester will now be generated.  

  • You will now see all of the class's tabs on the left side, these are called the class's 'Submenus'.
  • Select the submenu 'Lessons' to see all of the class's lessons that were generated.
  • Please note that if you made a mistake in scheduling the lessons for this class or need to reschedule the class, you can easily do so by re-generating the lessons.
