You can clone a single class or multiple classes from one semester to another semester, instead of creating a new class from scratch every semester.
Benefits of Cloning:
- Cloning will copy all the options in the original class's settings to the new class, including the subject name, transcript name, teacher, and tracks.
- Cloning will also copy the class schedule's day, time, length, and the "Generate Lessons" options, start date, and count.
- All lessons for the new class will be automatically generated for the entire new semester based on these options.
- You can clone an entire semester at once by selecting all of the classes of that semester.
Additional Options that can be Included when Cloning:
- Enroll students
- Class weights
- Class trackers
- Class fields
- Class attachments
Copy Registered Students:
- When you choose the option to copy registered students, if the registered students are not yet registered for the semester of the new class, they will automatically be registered for that semester.
- Note: Their enrollment status will not be updated. If a student's enrollment status was "alumni," they will be registered for the new semester and enrolled in the class as an alumni.
To clone classes, follow these steps:
Step 1: Select "Classes" from the main menu.
Step 2: Find the classes from the appropriate year and semester.
Step 3: Select one or more classes by selecting their corresponding checkboxes. If you want to clone all classes, you can use the "Select All" checkbox.
Step 4: Select "Clone Class" from the action menu.
Step 5: In the pop-up message, first choose the destination year and semester for the new class.
Step 6: When cloning a class for the first time, you must select "Copy Schedule." This will clone the class schedule and other options found in the class settings, as explained earlier.
Note: We advise that you first navigate to the destination semester to confirm that these classes do not already exist. If they do exist and you clone them again, duplicate classes will be created, and you will have to manually delete them.
Step 7: Select the additional options to clone, such as enroll students, class weights, class trackers, class fields, and class attachments.
Step 8: Finally, select "Clone."
- Please note that we recommend that you go to the newly cloned classes and verify that you have achieved your desired results.
- You can also clone only the additional options to a previously cloned class. This may be required when changes to the original class have been made (other than scheduling changes), and you want to clone these changes to an already cloned class.
- For example, if you've made changes to the original class's weight structure, you can copy just the weights to the previously cloned class.
- In this case, you should not select "Copy Schedule" and will only select "Copy Weights."
- In this case, a duplicate class will not be created. Instead, the system will match the two classes based on their class names and schedules and only apply these other options.
- If there were schedule changes to the original class, you cannot use the clone feature to copy these changes to a previously cloned class.
- To reschedule a previously cloned class, you must follow the regular procedure of rescheduling a class. For more information on how to reschedule a class, see the appropriate help tutorial in the "Class Scheduling" section.
